Companies in the Klinkmann Group participate in recruitment processes, perform recruitment activities for their workforce needs, or otherwise utilize personal data collected during recruitment by Klinkmann. 

2. Purposes and legal bases of processing

Klinkmann itself does not disclose or transfer personal data collected during the recruitment process outside the EU or EEA.

From time to time, Klinkmann may also use other subcontractors, service providers, and consultants in the implementation of its recruitment, who are so-called third parties. Such parties may include, for example, external recruitment consultants used in Klinkmann’s recruitment or other suppliers of services used in recruitment. These parties may also occasionally process or otherwise have access to the personal data managed by Klinkmann as described in this Privacy Notice. However, such parties only have access to the personal data managed by Klinkmann in cases and to the extent necessary for the provision of services. Klinkmann only uses service providers and subcontractors that have been proven to be reliable and commits them through contracts to comply with the data processing principles of this Privacy Notice.

3. Regular disclosures of information and transfer of data outside the EU or European Economic Area

This privacy statement does not apply to third-party links on our website or corporate communication. We cannot guarantee that these third parties handle your personal data in a reliable or secure manner. We recommend that you read the data processing principles of the relevant third parties before opening any links to third parties.

4. Data Protection Principles

Klinkmann has implemented the necessary technical and organizational security mechanisms required by legislation to protect the personal data it processes from unauthorized access, processing, loss, alteration, and other security risks. Only specific, pre-defined employees of the data controller are authorized to access and use the information stored.

7 Regular data sources

The information is primarily collected directly from the candidates themselves. Some information may also be collected, with the candidate’s consent, from public sites linked to the candidate’s application (such as LinkedIn) and from referees named by the candidate. In some cases, Klinkmann may also use external recruitment consultants to search for candidates, in which case Klinkmann may also receive candidate information through such recruitment consultants.

8 Providing personal data

Providing personal data is voluntary.

9 Automated decision-making

No automated decisions or profiling are made based on personal data. We may use artificial intelligence (AI) in the open applications we receive. AI may be utilized in the initial sorting of applications. After sorting, human reviews the applications and decides whether to move the application to the next phase of the recruitment process. AI does not make recruitment decisions.

11 Transferring to third countries

Klinkmann itself does not disclose or transfer personal data collected during the recruitment process outside the EU or EEA.

12 Data storage times

Candidates’ applications and personal information provided during the recruitment process will be retained for the duration of the recruitment process and for maximum a total of 6 months from when the candidate has submitted their application, unless the candidate requests the deletion of their information before this time.

13 Data subject’s rights

It is paramount to Klinkmann that the reliability and credibility of the company's systems and personal registers can be maintained and ensured. All processing of personal data complies with data protection legislation, where the essential general laws regulating personal registers and the processing of personal data are the Data Protection Act (1050/2018) and the EU General Data Protection Regulation GDPR (679/2016).

The data subject has the right to:

- receive information about the processing of their data
- gain access to data
- rectify data
- delete data and be forgotten
- restrict data processing
- transfer data from one system to another
- object to data processing and not be subject to automated decision-making

The data subject cannot exercise all the above-mentioned rights in all situations, as the exercise of the rights is affected, for example, by the basis on which the personal data is processed. Klinkmann may need to request certain additional information from the party making the request to allow us to verify their identity.

14 Right to complain to a supervisory authority

If you believe that the processing of your data has violated data protection legislation, you can refer the matter to the Data Protection Ombudsman. Data subjects have the right to lodge a complaint with the competent local supervisory authority, which in Finland is the Office of the Data Protection Ombudsman (see tietosuoja.fi/en).
